Video is also highly utilized for internal business operations — what better way to send out a training tutorial, executive update, or meeting recording to employees than with interactive, easily-searchable videos? Video has taken over prominent social media platforms as a means of engagement. alone, 85% of internet users regularly view online video content. If you want to incorporate videos in your content strategy, sales processes, and/or internal ops, you’ll need a way to efficiently handle the sheer amount of content before it causes too much friction with your customers and colleagues. This is where video content management systems come into play. In this post, I’ll explain what a video content management system is and why it might be useful for your business. We'll then explore the best platforms out there, so you can harness video to captivate your audience and improve internal communication. A video content management system, or video CMS, is a software application that helps organizations store, organize, manage, and present online video content. A video CMS allows users to build an intricate, scalable video ecosystem without any programming knowledge. Video CMSs are used for public-facing videos, like ads and tutorials, and/or private videos, like training and internal messaging. You might wonder why you need a new system just for your videos, especially if you already have software in place for storing media, such as a CMS. If your video library is limited, you can pass on a video CMS without much interruption to your workflow. However, organizations that rely heavily on video for both external and internal communications should consider incorporating a video CMS for their advantages over a non-specialized system. Here are the main benefits of a video CMS: The key difference between video and other media types is size. While a typical JPEG image is around 15 kilobytes, a well-compressed video around five minutes long uses up at least one thousand times more space, and even more as quality and length increase. Files this large easily exceed the maximum size allowed in many content management systems, putting longer training and meeting videos out of the question. They’re designed specifically for hassle-free uploading, storage, and delivery of large video files. As your content library expands, your video CMS scales with you. The best video CMSs ensure that viewers may engage with your content across all devices, including mobile, without disruption. Accommodation for smartphones is a must, as mobile devices account for over half of global internet traffic. Storing your videos on a regular CMS doesn’t guarantee they’ll play well (or at all) on mobile, since different devices prefer certain formats over others. To solve this, video CMSs automatically convert the video file to the best format for the device, a process called “transcoding.” Transcoding optimizes the streaming experience for all viewers, regardless of device. Most reputable video CMSs also adjust for internet connection speed. Similar to You Tube, these systems can detect users’ connection, then adjust the video quality to limit buffering. Speaking of You Tube, why not just post all your videos there? You Tube is an excellent video marketing platform, but it's also a public platform. On the other hand, video CMSs work well for private content like training videos, informational videos, and meetings. CMSs can also manage customer-facing restricted videos — for example, if you want to limit access to certain content behind a barrier (e.g. a sign-up or paywall), you shouldn’t put these videos on You Tube. A good video CMS will also enable secure viewing of your private videos. Alongside an authentication process, your system needs to encrypt the connection between the viewers’ browsers and your hosting server. These measures prevent unauthorized access to your video streams. Video CMSs let you search for videos by title, filename, and manually-entered metadata. For this reason, it’s recommended you develop a system for organizing your videos by category. Planning out your video tags is a good approach to cut down on search time later on. Some video CMS services take their search capabilities a step further, allowing users to search in-video. If you’re familiar with auto-captioning on video platforms like You Tube, these CMSs conduct the same speech recognition with your own videos. Indexing information in this way lets users search by words spoken in videos or displayed onscreen within videos. Viewers can even select parts in the video where target words are mentioned, saving the annoyance of skipping around for the right information. In addition to storing pre-recorded (or “on-demand”) video, some video CMSs let users broadcast live. These can be a great way to hold team- or company-wide meetings and webinars, or for product launches and live events with your audience. After the livestream ends, you’ll be able to save the video in your CMS for those who missed it. Tracking your video metrics will give a comprehensive understanding of your video performance to help shape your video strategy. Analytics tools through a video CMS can tell you, for example, how many people watch certain videos, for how long, which video sections are viewed most, and when viewers tend to stop watching. Depending on your video CMS choice, extra analytics features can provide even more powerful insights. If you’re already comfortable with a non-video CMS, not to worry. There are video content management systems that can link to your existing setup, so you don’t need to transfer all your content at once. The ideal video CMS depends on your requirements: Are you planning to share videos externally and/or internally? Are you only sharing on-demand video, or do you want to live stream video as well? Let’s take a look at some of the best video CMSs available, and cover their notable features to help with your choice. CMS Hub allows you to easily place videos to your website for the purpose of engaging and delighting your visitors. Easily host and manage your video files within your Hub Spot infrastructure, then embed videos onto your website pages, blog posts, and social media channels. You can add CTAs and forms within videos, track video performance, and use Hub Spot’s lead nurturing tools to provide targeted content for viewers. Besides marketing, Hub Spot also helps you leverage video in your sales and service processes. Record your screen to educate prospects on your product, or create video tutorials for your knowledge base to quickly send customers the answers they need. Panopto is another leading developer in the video content management space. Panopto’s video CMS is their flagship product, and has been well-received as a solid all-around option. Its ease-of-use and flexibility make it suitable for most online businesses looking to distribute video. Panopto can stand alone or integrate with your current content management system and CRM software. It auto-indexes spoken and visually presented words within videos, and automatically transcodes to the best format based on the streaming device. Panopto also emphasizes security — it offers integration with single sign-on solutions and strict access controls for all videos. If you’re happily invested in a Microsoft 365 plan, then Microsoft Stream (previously Office 365 Video) can handle your internal video distribution. Designed for company-wide information sharing and training, Microsoft Stream allows for on-demand video sharing and streaming for up to 10,000 viewers. Thanks to auto-transcription and facial recognition technology, viewers can skip to specific timestamps by on spoken word or even video subject. As you might guess, Microsoft stream integrates with other Microsoft applications, so users can move videos from Stream straight into other apps like Teams and Share Point. Depending on your 365 plan, Microsoft Stream can be integrated into your system with minimal extra cost. Brightcove specializes in video solutions for digital enterprises — their video CMS is one of the best-received in the industry. Brightcove prioritizes organization in their platform: They offer a robust playlist feature to group related videos manually or automatically by tags, custom metadata options for labeling and searching for content, and an intuitive graphical user interface that streamlines workflow. Also noteworthy is Brightcove’s quick publish feature, which lets users publish video clips straight to their website and other online channels by just pasting a snippet of embed code. However, for in-depth analytics in embedded videos, additional integrations are necessary. Kaltura’s video CMS provides solutions for a wide range of video applications. For business communications, they feature a “meetings” tool as an interactive collaboration area, with live video at the center. For marketing, Kaltura’s on-demand video and livestream capabilities function across many different online platforms and devices. Its virtual classroom feature makes it an excellent fit for educational institutions looking to adopt remote teaching. Kaltura also created the first open-source video platform service, enabling developers to build custom video CMS applications specific to their enterprise. IBM’s video streaming service is built for live and pre-recorded video streaming for external distribution. We recommend this platform for large-scale video campaigns and events for your visitors, leads, and customers. IBM’s system ensures that streams are secure, and allows you to track analytics in real-time during live events. Its adaptable setup and interface can accommodate novice and experienced administrators alike. The IBM video CMS utilizes its trademark Watson system for auto-captioning on-demand and live video. The machine learning algorithm adapts to your vocabulary and speaking patterns throughout the video, creating highly accurate and readable transcriptions that can be indexed and searched when needed. The primary goal of the Zype Video Meta CMS is keeping things easy. Whether creating on-demand videos for internal or external distribution, you can take advantage of Zype’s tools designed to simplify the entire process. This video CMS gives users easy access to media imports, metadata control, playlist structuring, backups, distribution rules, and transcoding, all of which can be handled with automated workflows. To top things off, Zype allows unlimited cloud storage for all videos. Handling video is a major obstacle while growing an online business. If not dealt with in a scalable manner, video will become a serious source of friction for you, your employees, and your customers — the exact opposite of what it’s intended for. Finding the right video CMS will be a major leap forward for your organization, saving time, hassle, and loading icons. We have been using CLZ to catalog our videos for well over 10 years. Their product is outstanding and has continued to evolve over the years. Being older, my wife and I have occasionally needed technical assistance and it’s so refreshing to get GREAT SUPPORT from real human beings. Hadn’t used my movie database in quite awhile and realized in a panic this week that I had removed the app. In responding to my frantic plea for assistance, the CLZ employee replied, “First breathe in, breathe out. Your movie database is securely backed up inside your CLZ cloud.” I appreciated the understanding and slightly humorous response. Been using CLZ Movie for over 5years, runs well, is updated often and has many features. If you want to organize all your video titles and be able to access from desktop, web or mobile, you won't find anything as full featured as this program. I am 81 years old and is using Movie Collector just about on a daily basis and I still find it a marvelous piece of software. 20 years ago my internet was to slow to continuously stream You Tube videos. So I got into a habit of downloading classical music from You Tube to be able to watch and listen continuously. And as you grow old you do not easily change your habits. Over the years my YT music collection grew steadily. I find Movie Collector a marvelous tool to manage this collection. Once I finish these it will be time to start on VHS, DVD, UMD, Blu-ray, CED, and UHD movies. This is an excellent program for keeping track of your videos / movies ensuring accessibility to pertinent details while also helping prevent duplicate purchases. Cataloging and alphabetizing my Laserdisc collection. Once the movies are done I can start with my music, videogames, comics, and books. In this day where you could own movies on physical media, Blu-ray, DVD, streaming formats on Amazon, Vu Du, or just noting favorites on Hulu, Netflix, etc. I dont see how one could keep track of these resources without something like CLZ Movies. Their customer support has consistently been excellent on the rare occasions they were needed. If you have a large collection, how many times have you gone to a store and bought a movie and go home and discover you already own it?! No doubt for my money it's the best thing since sliced bread. With this app, you can load up your collection and see if you already own it and even what format and version! They also make versions if this app for Books, Comics and Video games! Completely editable for any video format your heart desires. It is quick to add movies with the barcode scanner on your phone! I dont know how I'd keep track of my collection without this app or my PC app. The support team answers any question very quickly too. I just want to start out with how much I love this program for so many reasons. I started using it after I kept renting the same movies over and over every time I went to my local video store. I would see so many movies and after a while, I would routinely mix them up and re-rent them. Costing me more money than needed to enjoy all those movies out there. I had been using your software for my comics and decided that maybe the movie program could be helpful and save me some money at the same time. That was more than 5 years ago and now over 4000 movies. I love getting the notices of updates because there is something always interesting that you guys have developed that I didn't even know I needed or an update that fixes little bugs that get ironed out. I have seen many changes in how the collection software you guys offer has evolved since 1st trying out your free trial software and am hooked. I love entering my collection into your software and you seem to make it easier and more interesting every year. I never rent the same movie twice since I started using your excellent program and have found that no matter how many movies I have in my collection I have no fear that your program can keep up with me. I look forward to seeing all the new ways you keep improving your collection software and I really appreciate the discount offers you give every so often. I'd like to give 5 stars plus rating for how great your programs are and how quickly there are updates if any issues arise. Cheers to many more years of our continuous relationship. In 2004, The New York Times ran an article in their “Circuits” section called “I Don’t Rent. I Own.” The article described how DVD’s by the hundreds filled movie buff’s shelves. At that time, there were 27,000 DVDs to choose from. The making of a movie can cost millions of dollars, commits the talents of hundreds of individuals, the dedication of thousands of hours of blood, sweat and tears...you can own it for the price of a cheap dinner. Like the collectors featured in this article, I think about movies a lot. I think about the full movie, with its themes and big messages; I think about individual scenes that haunt your memories in the middle of night; I think about obscure movies from my childhood; and I think about actors – some preserved forever on film. Over the years, my obsession with movies has led me to ask a simple question. What if, at any time of day or night, I could see this movie. Hold it in my hands, put it on a shelf and always have a piece of something bigger. What if I think of a film and 5 minutes later I could be watching it…because I own it? Although I subscribed to Netflix then, I hated renting movies – a carry over from my hate of library books. I wanted to own the whole movie, always, and forever. In 2004, I dreamt of a world where you could own 27,000 DVDs. Some that just looked really good on the screen – Hell Boy (#1), some that I always wanted to own – Big Night (#2)…that my kids could watch over and over again – Air Bud (#14). (Side note, kids are the number one best way to get a spouse to agree to buying a movie). Around 2009, the Hollywood Video store in our town was going out of business and they put all their movies on sale. This was like locking an addict in a pharmacy for the night. Staring at all the films with $3 and $5 dollar price tags…I began to see a bigger mission. I started thinking that I could build a collection and leave behind a legacy. Now I wanted to own all the movies that ever had an impact on my life. The films that scared me, made me laugh, made me cry…movies that gave me direction. Like a Last Will and Testament, this was going to be a collection that I could leave to my kids, like a digital message, that would live on after me. A collection that my kids could see and say, “these movies were what made my dad who he was”. Instead, I came home with about 40 films and my wife and kids looked at me like I had lost my mind. It was also on this night that I almost purchased a movie I already owned… On August 20th, 2009, I paid about $25 to a company called Bitz & Pixelz for their cataloging program Collectorz. Amazon was constantly putting movies on sale – Father’s Day Sale, Summer Sale, etc. Movies like Batman Begins (#45), Blade Runner (#62) and Casablanca (#82) were easily available. Every week, I would get e-mails about “This Week’s Hot New Releases”…. Logging movies into Collectorz became a weekly ritual. I’d think long and hard about which films would take up coveted spots in the collection – Riddick (#100), Hair (#200) and transformers 2 (#500). By the time Captain America came out in 2011, I had hit 1000 movies. About a month ago, Avengers Infinity War became number 2000. My friends all have links to my Collectorz collection on their phones and I sync my collection across my home computer and all my devices. I travel a lot, so often on a late night flight, I’ll bring up my collection just to look at the cover art, read the plots and peruse the list actors, producers and actors. Many a Friday night, there will be a group of my kid’s friends huddled around the computer perusing the collection for a movie to watch – “sort by action”, “no, romance”….”don’t be crazy, comedy” – can be heard over the mouse clicks. Collectorz, being a one stop shop for the collection, triggers someone to ask to see the trailer, or ask “who stars in that one? ” I dread the day that they stop making Blu-Ray films. I love receiving the movie, holding it in my hands, logging it into my Collectorz catalog…filing it on my shelf. In fact, some films are still in their wrapper - My wife and I joke that this will be our retirement. Fourteen years ago, I started something I hope I’ll never finish…and Collectorz is logging every step of this journey. There was a video store around the corner where I daily spent my time finding and renting movies. I will never forget that I bought Peter Jackson’s Bad Taste fort he price of 3 tompoezen for the staff there ;) Fast forward a few years My collection increased and I was looking for a way to catagorize the movies. I'll tell you..has been a long and tiring road trying to organize my video collection! First movie was Ghostbusters, second movie Platoon.. I started of with Quattro Pro for Windows, after that Excel. I was looking for different ways of catagorizing and Excel just could not get that job done. That was the first time that I purchased the moviecollector software. Back when I had 1,275 videos (including VHS, DVD and Blu-ray), I had them all barcoded with labels I would manually create out of Microsoft Word and have them listed in an Excel then Access database. First movie I watched in the theatre was Labyrinth; with my mum. They saw I was into movies and stimulated me watching them At the video store with my dad. Perhaps the second choice was a bit too mature for me, but I was impressed! Since the early beginning of using it I have been more than happy with it. But it was never the same, as everything had to be entered in manually - which royally sucks. It suits the needs I so desperately was looking for. The time I spent on adding them, I never got around to entering in main actors, year, directors or even year...was a clusterschmuck! I love how I can have all of the information that's listed in the CLZ cloud/library in my database - now I have well over 2,985 videos (DVD's and Blu-ray's only) and I cherish the software and the company who makes it! I now have a list consisting of move than 2500 movie titles. I expect the list when finished (will it ever be) to consist of approximately 12000 titles. The way of catagorizing, of should I say a list within a list, is also magnificent! Since a few months I merged all my seperate lists into one big movie collection. I have for example a seperate list of movies, music dvd’s, cabaret, documentaries and pro wrestling. With the help of your great support, who showed much patience, I now merged that into one big list that I can upload in the cloud. It makes you want to watch your old movies because the cover view feels like your own personal video store. I really can say that the movie collector is THE solution for me. And with the update plan I always get the newest updates! It looks super professional and its alot easier than having a printed list. Eine DVD per Barcode schon in der Videothek erfassen, schneller und einfacher geht es kaum noch. A friend and customer suggested CLZ to me quite a few years back. I just signed up for your android service and now that i set it up and added all my movies. In die Cloud hochladen und Zuhause am PC in die Desktop-Datenbank übernehmen welch ein Luxus! This App is a database for your movies and TV shows. It works great for what it does and the cloud sync really makes it easy for me to update my phone. I started using it for my video collection of 3500 to 4000 pieces, VHS, DVD and Blu Ray. Still gathering my collection together, but it has been immensely helpful in saving me from purchasing duplicates in the same format. With the mobile app and cloud storage, it has become even more of a must-have tool. I highly recommend Movie Collectorz for anyone who wants to keep track of their collection and prevent duplicate buying. With the mobile app there are no more bulky printouts to drag around and the camera works as a scanner so you can add new purchases immediately. After my house was flooded by Hurricane Mathew last October, I was forced to face boxes of my DVDs/Blu-Rays that I packed up before the water reached them & stored them in higher levels in my house, garage, etc. Insurance companies will either love or hate you as you now have an accurate list of your movies. Months later after all my downstairs was repaired, I faced those boxes & the need to organize the videos back on shelves. There are also features for lending titles to friends and family, so you know what is not with you at any time. I was lucky enough to discover this app and it was perfect for this chore. The scanning feature for the barcodes was extremely helpful, although I soon found many in my collection that weren't in their database, that I had to add, including adding a photo of the unique addition that I had that didn't match their photos. Now I just add new ones incrementally and I no longer end up buying ones I already own! I have been using this program, Movie Collectorz for many, many years, and it is THE best. With a bar code scanner, you can ad a title, and it will download the front and back cover, the cast, film makers, synopsis, poster, trailer... I would very much recommend it for anyone who has more than a 100 home video titles. Im going to start with the fact that I spend way too much money on movies. I love having physical media, whether it be movies, music, comic books, or video games. It has tamed my video library and it is so quick and easy. I have had times in the past when I would see a movie on sale and think to myself, "Do I own this? Now I can look up all my videos and see what we have and can pick what we want to watch rather than wading through the cupboard. My time and patience was really being put to the test until I found CLZ. " I would proceed to buy the movie not realizing I already own a copy(or two, thanks Spaceballs and beer.) Now I can just take a look at this app if I'm not sure and know what I have and don't need to buy. We can also see the synopsis in case we have forgotten what the movie is about (so fun to get old)! It did take a few hours to get everything initially loaded into it, but it's great having it all in one spot, and being able to share it with my family is great too! Set it up, logged in and catalogued half my library almost instantly. I also completely support this app for the sake of buying actual movies and not just downloading. No more phone calls or texts from my wife while she's at the video store wondering if we already have that one! Occasionally I scanned a barcode that showed more than one result and it slowed my progress, but I emailed support and had feedback in minutes. Also got the expanded database and CLZ games (for video games). If I scanned the same movie twice, it asked if I wanted it in twice or not. Synced to the cloud (allows use on other devices) and now we won't accidentally buy duplicates. Even though extra space costs money, this app is a far cry better than the other ones I've used!! Thanks for making an awesome app that works really well. Only thing I would have liked is an app that includes movies, books, video games, and music organization rather than downloading a bunch of different apps.
